Terms of Service

Draft v0.2 — last updated 18 October 2026. This is a working draft and is being reviewed; items highlighted in yellow are still to be completed or confirmed.

These terms are an agreement between PROVIDER LEGAL NAME (“we”, “us”), of REGISTERED ADDRESS (company no. CRO NUMBER), and the business that registers for the service (“you” or “the Customer”). By creating an account or using the service you agree to them. If you are signing up for a business, you confirm you have authority to bind it.

1. The service

The service is a web portal and phone-installable app for running a contracting business: timekeeping and leave, payroll calculations, projects and site records, takeoff and estimating, finance, expenses, assets, documents, health and safety records, procurement and messaging, with optional AI features and text-message alerts (the “Service”). We may improve, change or retire features, and will give reasonable notice of any change that removes something you rely on.

2. Accounts and security

  • You must give accurate sign-up details. The person who creates the company account becomes its administrator.
  • Administrators decide who in your business has an account and what type (Admin, Manager or Worker). You are responsible for everything done through your accounts and for removing access when someone leaves.
  • Keep sign-in details secret. Use two-factor sign-in for administrators. Tell us promptly at SUPPORT EMAIL if you suspect an account has been misused.

3. Plans, trial and payment

  • New companies start on a free trial. When it ends you choose a paid plan or the service pauses until you do; your data is kept while paused.
  • Paid plans are charged in advance by card through Stripe, per the plan and billing period (monthly or yearly) shown under Billing & plan. Prices exclude VAT, which is added at checkout where it applies. Plans may limit the number of people.
  • You can cancel at any time; the service keeps working to the end of the period you have paid for. Fees already paid are not refunded unless the law requires it.
  • Optional extras you switch on that carry third-party costs — for example text messages sent through your own Twilio account — are paid by you to that provider.

4. Your data

  • You own the data you and your people put into the Service (“Customer Data”). We only use it to provide the Service to you, as set out in our Privacy Policy and the Data Processing Agreement, which form part of these terms.
  • You are responsible for having a lawful basis to put people's data into the Service, and for telling your own staff how you use it.
  • You can download a complete export of your data at any time under Settings → Export your data (see the Data protection overview), and you should do so regularly and keep your own copies of anything critical. We keep nightly backups to protect against our own failures, but they are not a substitute for your own copies.

5. Acceptable use

Don't use the Service unlawfully, to harm others, to upload malware, to try to access another customer's data or our systems, to overload or reverse-engineer it, or to resell it without our written agreement. We may suspend an account that breaks these rules or puts others or the Service at risk, and will tell you why where we can.

6. AI features

AI features (such as the help assistant, symbol counting on drawings, and document review) can be wrong or incomplete. They are a convenience, not professional advice or a substitute for checking. You are responsible for reviewing their output before relying on it — in particular any count, quantity, price or safety-related finding.

7. Calculations and records — your responsibility

The Service performs calculations and keeps records that businesses rely on, including payroll, tax, VAT, estimates, timesheets and safety documents. They are only as accurate as the information and rates entered. See the Payroll & tax notice. You remain responsible for the accuracy and legal compliance of your own payroll, tax returns, health and safety obligations and financial records.

8. Availability and support

We aim to keep the Service available and will give notice of planned maintenance where we can, but we do not promise it will be uninterrupted or error-free. Support is provided through the in-app Support area. Add any service levels or support hours you want to commit to.

9. Intellectual property

We own the Service and its software, design and documentation. You get a non-exclusive, non-transferable right to use it for your own business while you have an account. Your Customer Data and your own templates remain yours; third-party forms you upload (for example a client's timesheet or permit template) remain the property of their owners and you are responsible for having the right to use them.

10. Liability

Nothing limits liability that cannot lawfully be limited, including for death or personal injury caused by negligence, for fraud, or for anything else the law does not allow us to exclude.

Subject to that: (a) the Service is provided “as is”, and we do not give any warranty that it will meet every requirement of your business or the law; (b) we are not liable for loss of profit, business, contracts, goodwill or data, or for indirect or consequential loss; and (c) our total liability to you for all claims in any 12-month period is limited to the fees you paid us for the Service in that period. Solicitor to confirm these limits and whether a higher cap is appropriate.

11. Ending the agreement

  • You can stop using the Service and cancel at any time.
  • We may end the agreement on 30 days' written notice, or immediately for serious or repeated breach.
  • After it ends you have 30 days to export your data. After that we delete it as described in the Data protection overview, except where the law requires us to keep something.

12. Changes to these terms

We may update these terms. We will give you at least 30 days' notice of material changes by email or in the Service. Continuing to use the Service after the change takes effect means you accept it.

13. General

These terms and the documents they refer to are the whole agreement about the Service. They are governed by the laws of Ireland and the courts of Ireland have exclusive jurisdiction, except where the law gives a consumer or other party the right to use a different forum. Contact: SUPPORT EMAIL.
